Operating Entity
This Privacy Policy explains how PhaseBid, operated by First Phase Electric LLC, collects, uses, and protects information.
Information Collected
PhaseBid collects information you provide when you create an account, configure a company workspace, create customer and job records, build estimates, upload files, use AI-assisted features, subscribe to a paid plan, or contact support.
Account, Contact, and Company Info
Account and workspace information may include your name, email address, phone number, role or title, company name, company contact details, website, license number, company logo, profile avatar, and billing-related identifiers.
Customer, Job, Estimate, and File Data
The service stores business records entered by users, including customer contact information, service addresses, billing details, job details, schedules, estimate line items, assumptions, exclusions, code reminders, risk flags, questions, terms, proposal text, templates, pricebook items, uploaded files, photos, job documents, and saved proposal PDFs.
Customer Data Responsibility
Users are responsible for ensuring they have the right to upload, store, process, and use customer, job, file, photo, document, proposal, estimate, pricing, and business information entered into PhaseBid. Users should avoid entering customer or business information that is not needed to use the service.
Payments and Stripe
Payment processing is handled by Stripe. PhaseBid does not store full credit card numbers. Stripe may process payment details, invoices, subscription status, billing portal activity, and related payment information according to Stripe policies.
Supabase
PhaseBid uses Supabase for authentication, database storage, row-level security, and file storage. Supabase may process account, workspace, customer, job, estimate, file, and authentication data as needed to provide the service.
AI Processing Disclosure
When users use AI-assisted estimate drafting or related AI features, information submitted by the user may be transmitted to third-party AI service providers for processing. This may include project scope descriptions, job details, estimate context, customer-entered information, labor descriptions, material descriptions, proposal language, assumptions, exclusions, notes, and related estimating inputs necessary to provide the requested functionality.
Sensitive Information Warning
Users should not submit sensitive personal information, protected health information, financial account numbers, government identification numbers, passwords, unnecessary customer personal information, or other information not needed to use the service.
AI Usage and Abuse Protection
To protect the service from abuse, bots, compromised accounts, and excessive automated usage, PhaseBid may log AI request timing, success or failure status, plan, account identifiers, estimated token usage, prompt fingerprints, IP address, user agent, and related metadata.
Email Providers
Resend, Zoho, or other email providers may be used for support, transactional emails, account notices, or customer communication related to PhaseBid. Email metadata and message content may be processed as needed to send, receive, deliver, troubleshoot, or support those communications.
Hosting, Infrastructure, and Security Providers
PhaseBid may use hosting, infrastructure, analytics, monitoring, security, abuse-prevention, logging, backup, and support providers to operate, secure, maintain, troubleshoot, and improve the platform. These providers may process account, workspace, device, usage, log, security, or technical information as needed to provide their services.
How Data Is Used
We use data to provide and secure the service, authenticate users, maintain workspaces, generate estimate drafts and proposals, process subscriptions, support customer, job, scheduling, file, template, and pricebook workflows, troubleshoot issues, improve reliability, communicate about the product, prevent abuse, and respond to support requests.
U.S. Processing Notice
PhaseBid is operated from the United States. Information submitted through the platform may be processed and stored in the United States or by service providers used to operate the platform.
Data Security
PhaseBid uses reasonable technical and organizational safeguards, but no internet-based service, software platform, database, storage system, or transmission method can be guaranteed to be completely secure. Users should protect account credentials, limit workspace access, avoid unnecessary sensitive information, and promptly report suspected unauthorized access.
Data Retention and Deletion
You can contact support to request help with account data, workspace data, deletion requests, or privacy questions. Some information may be retained in backups, logs, billing records, security records, fraud-prevention systems, legal records, or audit records for a reasonable period after deletion or account closure where necessary for security, legal, billing, dispute, backup, or legitimate business purposes.
